POSITION DESCRIPTION

II. JOB PURPOSE

The primary role of the Administrator is to relieve the Pastor of the day-to-day temporal administration of the parish so the Pastor may concentrate on the spiritual needs of the parish.

The Parish Administrator has management responsibilities for the administrative functions of the parish, coordinating the business affairs of the parish with its policies and programs. In this capacity, the Parish Administrator also serves as Personnel Director for the Parish Staff and Parish School Staff.

III. GENERAL RESPONSIBILITIES

1. Employment in and by the Church is substantially different form secular employment. Church employees are held to a different and many times a higher standard of conduct. Church employees must conduct themselves in a manner, which is consistent with and supportive of the mission and purpose of the Church. Their behavior must not violate the faith, morals, or laws of the Church or the Archdiocese, such that it can embarrass the Church or give rise to scandal. This position does not require that the employee be Catholic. It is expected, however, that non- Catholic employees will respect Catholic doctrine and religious practices. Reasonable accommodations for the religious practices of the non-Catholics will similarly be provided.

To be present monthly at the Parish Staff, School Staff, Parish Council, Finance Committee, Building Committee, Stewardship, Maintenance, Education Committee Meetings. Also to attend city of St. Michael meetings as required

V. POSITION CONTENT

MAJOR RESPONSIBILITIES

Understand and fulfill all aspects parish policy handbook.

Meet all communication requirements including interpersonal skills with the school staff and parish staff members. Includes keeping Pastor informed.

Contribute to the faith community of the Parish by personal modeling and participation.

Maintain appropriate communication with all clientele/constituencies.

REGULAR ACTIVITIES

Model behavior consistent with Catholic teaching. Participate in the faith life of the Parish community.

Demonstrate cooperation with administration and staff with regard to the performance of professional duties.

Willingness to learn and take classes for continuing education.

Flexible schedule.

Network for support and education through Archdiocesan approved opportunities.

Turn in Purchase Orders at least two days prior to the 10th, 20th, and 30th of the month for reimbursements or bills.

Attend staff meetings and work as part of the parish staff team.

Organize and coordinate the work of the Parish Center Office.

Develop effective standards, procedures and working methods for the parish center office. Keep computers & programs updated.

Supervise purchases from all departments. Oversee all invoices being paid out of all accounts.

Consult when necessary with the Pastor and keep him informed about matters relating to the day-to-day administration of the parish.

Ensure that the church master calendar is properly updated and coordinated. Coordinate use of all parish buildings. Coordinate security of the parish buildings.

Work with the pastor, custodian, and maintenance committee on all major repairs to buildings and develop plans for their long and short-term maintenance, repair, and improvement.

Work with custodian on needed repairs and coordinating schedules.

Direct day-to-day maintenance and repairs of building and property.

Supervise the parish budget with the Pastor, the Finance Committee, and the Parish Council. Prepare annual budgets with input from staff and committees.

Oversee the records of yearly contributions, including the Capital Campaign and Archdiocesan collections.

Supervise all disbursements authorized in the budget and keep the staff informed about their respective budgets to ensure they remain in limits.

Prepare and submit the annual parish financial report to the Archdiocese and Parish.

Prepare for annual financial review by accountant.

Develop and periodically evaluate with the Personnel committee the personnel policies and contracts of the parish.

Assist pastor in the process of recruiting, interviewing, hiring, and terminating of professional and support staff to meet the ministerial needs of the parish.

Assist staff in writing and updating job descriptions.

Supervise staff in the Parish Center and Parish School.

Hire support staff as necessary.

Keep personnel policy handbook updated.

Plan Agendas for committee meetings and oversee packets as needed. Arrange for dispersal of papers to various committees.

Prepare and complete all Parish School Hot Lunch records, reports, and other related information for the program.

Maintain salary survey data.
