Procedures for Fulfilling Requirements of:

Charter for the Protection of Children and Young People

 

Every parish and school providing services to children is required to follow the following procedures:

 

1.      Adhere to all Archdiocesan policies related to employment and governance, including but not limited to administration of background checks, provision for VIRTUS Awareness Sessions, and maintenance of signed codes of conduct for all adults for a period of four (4) years.

 

2.      Beginning in the fall of 2007, prepopulated audit reports will be sent to parishes and schools one month prior to deadline dates.

 

3.      Implement the following timetable of required actions:

 

      August – September

    New employees and volunteers need to have background checks, attend a VIRTUS Awareness Session and sign a Code of Pastoral Conduct form.

 

    All employees and volunteers need to sign the Code of Pastoral Conduct form released in the Spring of 2007 as part of their employment or volunteer handbook agreement procedures. All employees and volunteers need to review the Code of Pastoral Conduct annually.

 

    New families enrolling children in parish and school programs need to receive a  

  VIRTUS Parent Guide (For example: at orientation meetings or with packets of information).

 

October 15

Submit a signed Fall Audit Report (Implementation Plan) by October 15 of every year.

 

Within 1 week of significant program challenge

Complete Parent Option “Opt-Out” Summary Data form

 

May 15

Submit a signed Spring Audit Report (Implementation Record) by May 15 of every year.

 

4.      Additionally, safe environment instruction may no longer be done through home instruction.  Special arrangements need to be made through the PCYI office to receive permission and the required documentation forms.

 

5.      Parent Option Forms also need to be stored on-site for a period of four (4) years.
